How to schedule meetings across time zones

Start by choosing a reference time zone (usually yours), a date, and a candidate time. Add the time zones of the other participants. The planner shows the local date, local time, offset, and whether the slot falls inside working hours for each zone. Use the overlap finder to scan the whole day for windows where every participant is within working hours.

Why daylight saving time creates meeting confusion

Daylight saving time changes happen on different dates in different regions, and not all regions observe it. A recurring meeting at 9:00 your time may shift by an hour for a participant after their daylight saving transition. Confirm recurring meetings around daylight saving change dates and state the time zone explicitly in invitations.

Time zone abbreviations versus real time zones

Abbreviations are ambiguous: CST can mean US Central, China Standard, or Cuba Standard Time. Always schedule using the full time zone name (America/Chicago, Asia/Shanghai, America/Havana) so your calendar applies the correct rules.

Tips for remote teams

Rotate meeting times so the same region is not always inconvenienced, publish recurring meetings with explicit time zone names, and re-confirm times after daylight saving transitions. Keep a shared document of team members' time zones and working hours so anyone can pick a fair slot.

Does this tool use real time zone data?
Yes. It uses the time zone database built into your browser. No external time-zone service is called. Daylight saving time is handled automatically.
How are working hours determined?
You set working-hour start and end (defaults to 9:00 to 17:00). For each selected zone, the planner checks whether the chosen meeting time falls within those hours in that zone. The overlap finder scans the day in 30-minute steps and returns windows where every selected zone is within working hours.
Why do time zone abbreviations cause confusion?
Abbreviations like CST can mean Central Standard Time (US), Central Standard Time (Australia), or China Standard Time. Always confirm meetings using the full time zone name (for example, America/Chicago) rather than an abbreviation.
What about daylight saving time?
Daylight saving time changes are applied automatically by your browser. The offset shown for each zone reflects the daylight saving rules in effect on the date you select.
Are my inputs stored?
No. All calculations run in your browser. Inputs are not sent to WebF1 or stored on a server.
